THE CHALLENGE

Owing to rapid development and increased reliance on email communications over the last 5 years, the existing Hosted Exchange email server hardware used by the Mining Company was overworked.


Additionally, the existing file server of the company was becoming obsolete and therefore had very limited capabilities. This put an extra burden on the already overworked email server, as employees relied on email to perform regular productivity tasks and collaborate on files and documents with other colleagues.


Our duty was to replace the client's antiquated exchange and file servers with a cost-effective email and document management system that was more functional.

IMPLEMENTATION

This best practice approach ensured that Office 365 can run properly and meet their needs in the client's work environment. The test also helped to illustrate any possible problems before starting the entire migration cycle.

The Project Management team has begun the migration process after a positive testing phase, completing the following tasks:

  • Migration of 100 + mailboxes to Office 365 from existing Hosted Exchange Server.
  • Migration to public folders of all current public files in Office 365.
  • Identity and password synchronization setup between Active Directory on Windows server client and Office 365.
  •  DNS records changes.
  • SharePoint Online setup and configuration which replaces the existing file server.
  • Migration of all data to SharePoint Online from current file server.
  • Disclosure of the now obsolete Hosted Exchange and File Servers.

PROJECT OUTCOMES

Within 25 days of accepting our proposal and without any disruption to the day-to-day operations of the client, the entire project was completed successfully.


They migrated their entire email infrastructure to Office 365, which allowed them to remove their obsolete Exchange server and recognize the immediate benefits of using the new and most modern email program.


Furthermore, their existing file server has been replaced with SharePoint Online which removes the older and time-consuming method of sharing documents with colleagues via emails. This also introduced the company a new layer of document management and collaborative capabilities to further improve the performance.


Though full training was given, thanks to its familiar and user-friendly interface, the current staff members quickly embraced SharePoint.
